How it works

Three steps, then never again.

The setup is one-time. After that, posting is just sending an email — the same thing you were already going to do.

Register the address you send from

Sign up, add the email you actually send announcements from, and click the link we send to confirm it's yours. School and organisation domains are approved automatically; anything else gets a quick look from us first.

Write it like you'd write it to a person. Subject line, the details in the body, the poster attached if you have one. Forwarding an announcement someone else sent you works too.

It lands on the feed

We pull out the title, the description and the dates, build a cover, and publish it. You get a reply telling you exactly what happened — including if something was missing.

What to send

What each part of your email becomes.

You don't need a template and there's no syntax to learn. But knowing what we read gets you a better post.

Subject line
Becomes the name of the project. Write the thing people would say out loud — "Spring Auditions", not "FW: RE: important announcement".
The body
Becomes the description. Say when, where, who it's for and how to get involved. Plain prose is fine — you're not filling in a form.
An attached poster
Becomes the cover image. This is the single biggest thing you can do for how the post performs. No poster? We'll find a fitting photo and build a cover for you.
A calendar invite
Attach the .ics and the dates come straight off it — those beat anything we'd otherwise infer from the text. The easiest way to get the timing exactly right.
A forwarded email
We unwrap the forward and read the original message, including its real subject line. So you can pass along an announcement without rewriting it.

What comes back

You always get a reply.

Email that vanishes into a system is the worst kind. Every message you send gets one of these back, usually within a minute.

We got the gist but couldn't pull out something important, so we saved it instead of publishing something half-right. The reply names exactly what's missing and links to a page where you fill it in and publish.

You sent something about a project you'd already posted, so we updated the existing one rather than making a duplicate. Send a correction whenever the time or the room changes.

Being straight with you

What it won't do.

  • Only registered addresses work. Mail from an address we don't know is dropped — it isn't held or bounced. Register first, or nothing happens.
  • It has to be about something happening. Newsletters, receipts and general chatter get read and set aside rather than posted.
  • Everything is moderated on the way in, the same as anything posted from the app.
  • There's a sending limit. Generous for a real organisation, deliberately not generous enough to blast the feed.
  • You can't schedule. An email posts when it arrives. Send it when you want it up.

Who this is for

People whose work already lives in email.

Student activities offices, club presidents with a listserv, venues, promoters, anyone who sends the announcement anyway and would rather not retype it into an app.

Already have the Clubs app?

Then you may not need this. Posting from the app gives you more control and takes about as long. Contact is for the people who don't want to install anything — and for forwarding mail you didn't write.

What does it cost?

Nothing. Clubs Contact is free and there are no ads.

Do I need the mobile app?

No. That's the point — sign up with an email and a password, no phone number and no install. If you do already have a Clubs account you can link it instead of making a second one.

Can several people send from our organisation?

Yes — register each address you want to post from. Each one is confirmed separately, so someone leaving doesn't take your posting ability with them.

How do I fix a post after it's up?

Email again about the same thing. We recognise it as the same project and update it instead of posting a duplicate — you'll get an Updated: reply.

Nothing happened when I emailed. Why?

Almost always the address you sent from isn't registered or hasn't been confirmed yet — check your dashboard. Unregistered mail is dropped silently, which is deliberate: it's what stops the feed filling with spam.

If the address is confirmed and you still heard nothing, email supportclubs@gmail.com.

Wasn't this called Clubs Companion?

It was. It's Clubs Contact now — the Companion name went to a different product. Nothing about how it works changed, old links still resolve here, and you don't need to do anything.
