Clubs Application
Effective Date: March 14, 2026 · Last Updated: October 14, 2026
This Privacy Policy ("Policy") describes how Clubs ("Company," "we," "our," or "us") collects, uses, discloses, and protects information obtained from users ("you" or "your") of the Clubs mobile application ("App" or "Service"). The Service is a platform designed to match college students with creative project collaborators.
By accessing or using the Service, you acknowledge that you have read, understood, and agree to be bound by this Policy. If you do not agree with the terms of this Policy, you must discontinue use of the Service immediately.
1.1 Information You Provide Directly
In the course of creating an account and using the Service, you may provide us with the following categories of personal information:
(a) Full legal name;
(b) Email address;
(c) Phone number, collected and verified through Twilio's authentication service;
(d) University or educational institution affiliation (if provided); and
(e) Any additional information you voluntarily submit through your profile or project listings.
1.2 Information Collected Automatically
When you access or interact with the Service, we may automatically collect certain technical and usage information, including but not limited to:
(a) Device type, operating system, and unique device identifiers;
(b) App usage data, including features accessed, session duration, and interaction patterns; and
(c) Crash reports, error logs, and performance diagnostics.
1.3 Information from Third-Party Service Providers
We utilize Twilio, Inc. ("Twilio") and Amazon Web Services ("AWS," through Amazon SNS) to send verification codes by SMS during account registration and sign-in. These providers process your phone number in accordance with their own privacy policies. We do not receive any personal data from them beyond the delivery and verification status of your code.
If you choose to sign in with Apple or Google, we receive from that provider the identifier, name, and email address you authorize it to share. If you signed in with Apple and later delete your account, we also revoke the App's access to your Apple ID.
1.4 Location Information
With your permission, the Service collects your approximate ("coarse") location in order to surface projects and collaborators near you and to display projects on the in-app map. We do not collect precise location, and we do not track your location in the background or while the App is closed.
Location access is optional. You may decline the location permission when prompted, or withdraw it at any time through your device settings; the Service remains usable without it, though nearby-project results and map features will be limited.
1.5 Photographs, Camera, and Photo Library
With your permission, the Service accesses your camera and photo library so that you may:
(a) Capture or select a profile photograph;
(b) Capture or select images and videos for project listings and applications;
(c) Attach images, videos, and documents to chat messages and project channels; and
(d) Save images and videos you receive to your own photo library.
We access only the specific photographs, videos, and files you choose to submit. We do not scan, index, or otherwise access the remainder of your photo library, and we do not access the camera except while you are actively capturing media within the App.
1.6 Microphone and Audio Recordings
With your permission, the Service accesses your microphone so that you may record audio accompanying videos you capture for projects and chats, speak during voice and video calls with your collaborators, and, where a project offers them, record voice notes or audio takes to share with its members.
Audio you record and submit is uploaded to and stored on our servers so that it may be delivered to the project members you share it with. Call audio is transmitted to the other participants of the call. We do not record calls, and we do not activate the microphone except while you are actively recording or participating in a call within the App.
Camera, photo library, and microphone access are each optional and may be declined or withdrawn at any time through your device settings. Declining a permission disables only the corresponding feature.
1.7 AI-Assisted Features
Some features of the Service use artificial-intelligence processing provided by OpenAI and Anthropic. These include generating and reviewing your onboarding profile description, interpreting searches you type to find matching projects, screening submitted content for material that violates our Terms of Service, and the Clubs Companion assistant. When you use these features, the text or images you submit to them are sent to these providers to produce a response. Under these providers' API terms, data sent through their APIs is not used to train their models. We do not use AI processing to make decisions that have legal or similarly significant effects on you.
We use the information collected for the following purposes:
(a) To create, authenticate, and maintain your user account;
(b) To facilitate matching between users and creative project opportunities;
(c) To deliver push notifications regarding matches, messages, and relevant account activity;
(d) To improve, personalize, and optimize the functionality and user experience of the Service;
(e) To display projects near your approximate location and on the in-app map;
(f) To store and deliver the images, videos, documents, and audio recordings you submit to the project members and conversations you share them with;
(g) To monitor, analyze, and report on usage trends and application performance; and
(h) To enforce our Terms of Service and protect the safety, rights, and property of our users and the Company.
We do not sell, rent, lease, or trade your personal information to any third party. We may disclose your information only under the following limited circumstances:
(a) Legal Obligation. We may disclose your information where required by applicable law, regulation, subpoena, court order, or other enforceable governmental or regulatory request.
(b) Protection of Rights and Safety. We may disclose your information where we believe, in good faith, that such disclosure is necessary to protect the rights, property, or personal safety of the Company, our users, or the general public.
(c) Service Providers. We may share limited information with third-party service providers engaged to support the operation of the Service. Such providers are contractually bound to use your data solely for the purposes of providing services to us and to maintain appropriate safeguards. They are:
Supabase (database, file storage, authentication, and server infrastructure);
OpenAI and Anthropic (AI-assisted features described in Section 1.7);
Twilio and Amazon Web Services (SMS verification codes);
Apple and Google (Sign in with Apple and Google Sign-In, and Apple's push notification service);
Expo (delivery of push notifications);
LiveKit (real-time audio and video for calls);

All user data is stored on servers operated by Supabase, Inc. We implement commercially reasonable technical and organizational safeguards designed to protect personal information against unauthorized access, alteration, disclosure, or destruction.
Notwithstanding the foregoing, no method of electronic transmission or data storage is entirely secure. Accordingly, while we strive to protect your personal information, we cannot and do not guarantee its absolute security.
We retain your personal information for as long as your account remains active or as reasonably necessary to provide the Service. Upon receipt of a valid account deletion request, we will delete your personal data within thirty (30) calendar days, except where retention is required by applicable law or necessary for legitimate business purposes, including but not limited to dispute resolution and enforcement of agreements.
Subject to applicable law, you may have the following rights with respect to your personal information:

(b) Right of Correction. You may request that we correct or update inaccurate or incomplete personal information.

(d) Right to Opt Out of Notifications. You may disable push notifications at any time through your device settings.
(e) Right to Withdraw Device Permissions. You may withdraw the location, camera, photo library, and microphone permissions at any time through your device settings, without deleting your account.
To exercise any of the foregoing rights, please submit a written request to supportclubs@gmail.com. We will endeavor to respond to all verified requests within thirty (30) calendar days.
You may delete your account and all associated personal data at any time from within the App, under Settings → Delete Account. Deletion from the App takes effect immediately. If you signed in with Apple, deleting your account also revokes the App's access to your Apple ID.
You may alternatively request deletion by submitting a written request via email to supportclubs@gmail.com. Upon verification of your identity, we will process the deletion within thirty (30) calendar days and provide written confirmation upon completion.
The Service is intended solely for individuals who are eighteen (18) years of age or older. We do not knowingly collect, solicit, or maintain personal information from any individual under the age of eighteen (18).

You may opt out of receiving push notifications at any time by modifying the notification settings on your device. Please note that opting out of push notifications may limit certain features and functionality of the Service.
The Service may contain links to websites, applications, or services operated by third parties. This Policy does not apply to, and we are not responsible for, the privacy practices of any third party. We encourage you to review the privacy policies of any third-party service before providing personal information.

Your continued use of the Service following the posting of any revised Policy constitutes your acceptance of and agreement to the updated terms.
This Policy shall be governed by and construed in accordance with the laws of the State of New York, without regard to its conflict of law provisions.
